Our Terms and Conditions

North Trip Planner – Terms & Conditions

We strictly follow and apply our Terms & Conditions. Please read them carefully before booking your trip with us.

Booking & Confirmation

  • Bookings are only confirmed upon receipt of at least 30% advance deposit.

  • Remaining balance is to be cleared at the start of the tour unless a credit agreement (MOU) is signed.

  • In case of non-availability of seats, the deposited amount will be refunded on the same day.

Undertaking Form

Registered members will be required to sign an undertaking form at the start of the trip, detailing:

  • Trip itinerary

  • Terms & Conditions

Code of Conduct

  • Any act reflecting moral or character failure is strictly prohibited.

  • Drug use or possession will lead to immediate expulsion from the trip with no refund.

  • Members must respect local culture, laws, and the group’s collective safety.

Tour Changes & Cancellations

By North Trip Planner:

  • We reserve the right to cancel or alter trips due to unforeseen circumstances. A full refund will be provided if the trip is canceled by us.

  • Itineraries may change due to weather, political issues, roadblocks, or other uncontrollable situations. The best possible alternative will be decided by the tour leader.

By the Customer:

  • Requests to cancel or alter a booking must be sent via email during office hours.

  • Group Tour Cancellation Charges:

    • 7 days or more: 30%

    • 3–6 days: 50%

    • 48 hrs or less: 100%

    • 24 hrs or less: 100%

    • No refund if a participant leaves during the tour

  • Private Tour Cancellation Charges:

    • 61 days or more: 20%

    • 60 days or less: 35% of deposit

    • 51–60 days: 50% of tour cost

    • 31–50 days: 75%

    • Less than 30 days: 100%

Tour Date & Itinerary Changes

  • For group tours, changes must be requested 3 days before start. No extra fee will apply if done within this time.

  • For private tours, changes must be requested 30 days in advance. Any additional charges will apply.

  • The new tour date must fall within 24 months of the original booking.

  • Any itinerary or service changes requested after confirmation may be subject to additional charges.

Safety & Liability

  • While every care is taken, we are not liable for:

    • Natural disasters (e.g., landslides, floods, avalanches)

    • Accidents or injuries

    • Loss or theft of personal items

  • AC will not be operational in hilly areas.

  • Extra mattress means a mattress placed on the floor.

Service Conditions

  • Tour services begin only after confirmation and payment.

  • Add-on services such as flight/train tickets, hotel upgrades, private transport, or city pickups must be paid for separately.

  • In case of change/cancellation of air tickets, applicable airline charges will be borne by the customer.

  • Vehicle types, hotel categories, and services must be reviewed before confirmation. Later changes will incur charges.

Media & Privacy

  • We reserve the right to use tour photos for digital/marketing purposes.

Travel Duration Disclaimer

  • Travel time may vary by +/- 3 to 4 hours depending on conditions.
